Joining a Bluescape Meeting as a Visitor (Web)

Joining an ad hoc or scheduled meeting in Bluescape has never been easier. In just a few clicks, you’ll be able to join a meeting and begin collaborating with the team.

Joining an Ad Hoc Meeting

Great for impromptu huddles or quick syncs, Bluescape makes it easy to join ad hoc meetings.

There are two ways you can join an ad hoc meeting in Bluescape:

  • From meeting details provided to you from the meeting organizer
  • From inside a workspace
How to join ad hoc meetings in Bluescape

Joining an ad hoc meeting after receiving meeting details:

  1. A meeting organizer sends you meeting details to join. The meeting details include:

    • A meeting link (at times, only a meeting link is provided)
    • Dial-in information
    • Meeting ID
    • Password
  2. To join the meeting, choose the method that is best for you.
    Note: The quickest way to enter is via a meeting link. If you do decide to join via dial-in, you are placed in a waiting room until the host admits you.

  3. Once you have clicked on the meeting link, you are directed to a meeting dialogue box that prompts you to Join Call.

  4. Before joining the meeting, you can choose to enable or disable your microphone and camera by clicking the Audio and Camera icons, respectively.

  5. Click Join Call when ready. You have now entered the meeting.

  6. (Optional) If it’s your first time joining a meeting in Bluescape, you may want to check your AV settings. Click theAV Settings (AV Settings) icon to configure. Learn more: Configuring AV Settings.

Joining an ad hoc meeting from inside a workspace:

  1. To join a meeting from inside a workspace, click the Join Call (Start or Join Call) icon in the top right corner of the workspace.

  2. A meeting dialogue box opens and prompts you to Join Call.

  3. Before joining the meeting, you can choose to enable or disable your microphone and camera by clicking the Audio and Camera icons, respectively.

  4. Click Join Call when ready. You have now entered the meeting inside a workspace and can collaborate in real-time with other members.

Joining a Scheduled Meeting

You can also join a scheduled meeting in Bluescape. To participate in a scheduled meeting, you must receive the meeting details prior to the scheduled meeting. These details can come directly from your meeting organizer, from Outlook, or from any other scheduling platform.

How to join a scheduled meeting in Bluescape
  1. A meeting organizer sends you meeting details to join directly, or invites you to a scheduled meeting through a meeting scheduling platform such as Outlook. The meeting details include:
  • A meeting link (at times, only a meeting link is provided)
  • Dial-in information
  • Meeting ID
  • Password

The meeting details appear as follows. This example is from Outlook:

  1. To join the meeting, choose the method that is best for you.
    Note: The quickest way to enter is via a meeting link. If you do decide to join via dial-in, you are placed in a waiting room until the host admits you.

  2. Once you have clicked on the meeting link, you are directed to a browser that prompts you to Join Call.

  3. You can enable or disable your microphone and camera before joining the meeting by clicking the Audio and Video icons, respectively.

  4. Click Join Call. You have now entered the meeting.

  5. (Optional) If it’s your first time joining a meeting in Bluescape, you may want to check your AV settings. Click theAV Gear (AV Settings) icon to configure. Learn more: Configuring AV Settings.

Joining a Meeting as a Guest User

For Guests and Hosts

Hosts may invite both members and guests to join a Bluescape meeting. When a host invites a guest to a Bluescape meeting, action is required on the part of both the guest and the host at the time of the meeting.

  1. As a guest, click the meeting link provided by the host.

  2. A Join meeting dialog box appears. Enter the name you would like to have appear on the screen during the meeting and select Join as Guest.

    A Waiting to be admitted message appears below your user information.



    Note: You may also sign on as an existing user if you are a Bluescape member.

  3. The host receives a notification in the lower right of their screen indicating there is a user in the Waiting room. The host must select the Waiting room to view any users waiting to join.

  4. The Waiting room appears for the host. Select Admit to let your guests into your meeting.

During the Meeting

Once you select Join call, you’ll notice the meeting features two tabs:

  • Bluescape Meeting
  • Meeting Workspace

The Bluescape Meeting tab opens by default and displays all participants in a grid view.


Note: Bluescape supports a speaker view so you can see who is talking at any moment during the meeting. When a participant is talking, their initials or camera displays above other participants.

The Meeting Workspace tab provides an automatically generated single-click workspace for instant collaboration in the meeting. Any attendee can interact with the workspace in this tab.

Once the meeting is finished, the meeting workspace is assigned to the meeting organizer. This is the member who started or scheduled the meeting and may or may not have been the meeting host. The meeting organizer receives an email to claim the workspace and save it in My Bluescape.

Note: The type of meeting workspace you see in the Meeting Workspace tab depends on where the meeting organizer copied the meeting details from when sending the invitation.
